Verifence ("we", "us", or "our") is committed to protecting your privacy. This policy explains what data we collect, why we collect it, and how we handle it.
1. Information we collect
Account information
When you create an account we collect your name, email address, and payment details. Payment processing is handled by a third-party provider; we do not store full card numbers.
Scan data
When you submit files, URLs, or email addresses for scanning, we process that content to perform the requested analysis. Scan results are stored and associated with your account so you can review them later.
Usage data
We collect information about how you use the platform: API requests, feature usage, credit consumption, and browser/device information (IP address, user agent, referring URL).
Communications
If you contact us by email or through the contact form, we retain that correspondence to respond to your inquiry and improve support quality.
2. How we use your information
- To provide, operate, and improve the Verifence platform
- To process payments and manage your subscription
- To send transactional emails (receipts, alerts, scan notifications)
- To send product updates and announcements (you may opt out at any time)
- To detect abuse, fraud, and violations of our Terms of Service
- To comply with legal obligations
We do not sell your personal data to third parties.
3. Data sharing
We share data only with trusted service providers who help us operate the platform, including:
- Payment processors — for billing and subscription management
- Cloud infrastructure providers — for hosting and storage
- Analytics providers — for usage analytics and error tracking
- Threat intelligence APIs — Google WebRisk, VirusTotal, URLScan.io, Spamhaus, and Barracuda are queried as part of the scanning process
All sub-processors are bound by data processing agreements and are not permitted to use your data for their own purposes.
We may also disclose data when required by law, court order, or to protect the rights and safety of Verifence and its users.
4. Data retention
We retain account data for as long as your account is active. Scan results are retained for 90 days on the Free plan and 12 months on paid plans, after which they are automatically deleted.
When you delete your account, we delete your personal data within 30 days, except where we are required to retain it for legal or compliance purposes.
5. Cookies & tracking
We use cookies and similar technologies to:
- Keep you signed in to your account
- Remember your preferences
- Understand how the platform is used (via analytics tools)
We use Google Tag Manager to manage analytics and marketing scripts. You can opt out of analytics tracking by disabling non-essential cookies in your browser or using a browser extension such as uBlock Origin.
6. Your rights
Depending on your location you may have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Request deletion of your data
- Object to or restrict processing
- Export your data in a machine-readable format

7. Security
We use industry-standard security practices to protect your data, including encryption in transit (TLS) and at rest, access controls, and regular security reviews. No method of transmission over the internet is completely secure; we cannot guarantee absolute security, but we take reasonable steps to protect your information.
